Channel Partner Leads: Who Calls the Buyer, and When?
A channel partner's lead registration records the partner's claim. Your own timestamped first call records the buyer's. Why CP leads go cold, who should dial first, and what RERA says about unregistered agents.

On a launch Saturday, a broker you empanelled last month messages your CRM at 9:47 pm: a buyer, a phone number, a budget, a note saying he is keen. The lead is registered. Now answer one question honestly. Who on your side calls that buyer, and when? On most developer desks nobody is assigned, and that single gap sits underneath a lot of lost bookings and most commission arguments.
What is a channel partner lead, and how is it different from a portal lead?
A channel partner lead is a buyer introduced by a broker or agency that sells your project under a commission agreement, instead of one who filled a form on MagicBricks or 99acres. The difference that matters on the presales floor is not the source. It is that a second party already has a relationship with this buyer, a commission claim on them, and a timestamp of their own.
A portal lead belongs to you and nobody else. A CP lead is shared from the first minute. The partner has told the buyer to expect a call from the project, and the partner is watching to see whether it comes.
Portal lead vs channel partner lead: who holds what

The first column is a framework, not a statistic. Nothing in this table is a measured figure.
Why do channel partner leads go cold even though they are warmer?
Because warmer describes the buyer's intent, not your response time. CP leads arrive out of hours, in bursts, during launches, which is exactly when a presales desk has least room to absorb them. The broker has already promised a callback. If it does not come within the hour, the broker's credibility takes the first hit and yours the second.
The underlying clock is the same one we cover in the speed-to-lead posts: a buyer comparing three projects over a weekend gives the first credible caller a large advantage. The CP version has a sharper edge. A portal buyer who is not called just drifts. A CP buyer who is not called phones their broker, and the broker phones your sales head.
Who actually calls a channel partner lead first, and what usually happens instead?
In most developer setups nobody is explicitly assigned. The CP lead drops into the same queue as portal leads and is picked up by whichever caller reaches it. In practice that means whichever partner escalates loudest to the sales head.
Here is how it plays out. A partner rings the sales head on Saturday night asking why his buyer has not been called. The sales head messages the team, and that buyer jumps the queue. Not because the lead is better, but because the partner has a senior phone number and a portal lead does not. Every developer running both channels ends up triaging by who complains loudest.
To be fair to partners, this is not their conduct. They send the buyer and wait. The failure sits in the developer's queue, and partners are the first to feel it.
How does a timestamped first call settle a commission dispute?
A partner's lead registration records the partner's claim. Your own first outbound call, with its timestamp, its recording, and the buyer's own answer to the question "how did you hear about the project?", is the only record of the same event that you created and control. When two partners claim one buyer, that is the record that carries weight.
The standard advice for attribution disputes is a timestamped lead registration, and it is sound as a minimum. Read what it is, though. It is the partner's timestamp, created by the partner, recording the partner's claim. It is the only record you hold of a transaction you did not witness.
We are not making a legal claim. An independent record is better evidence than a one-sided one; whether it settles any particular dispute depends on your partner agreement and your counsel. What it does is replace an argument about whose registration came first with a recording of the buyer saying who introduced them.
The two clocks on a CP lead, shown on an illustrative Nagpur launch weekend. Not a measured client result.
Take a representative Nagpur launch, illustrative and not a client case. Two partners register the same buyer eleven hours apart on Saturday. Nobody from the developer calls until Monday morning. By then the buyer has visited a competing project with the second partner, and both partners have opened a claim. The developer's evidence is two partner-created registrations and a free-text CRM note typed from memory at 8 pm.
Run the same weekend with first contact inside a minute of each registration. There is one recorded call, one timestamp, and the buyer's own answer on the line about which partner introduced the project. The buyer also visits your site on Sunday instead of a competitor's. Speed-to-lead on CP leads does double duty: it converts the buyer and it creates the evidence.
What does RERA actually require of your channel partners?
Under Section 9 of the Real Estate (Regulation and Development) Act, 2016, no real estate agent may facilitate the sale or purchase of a unit in a registered project without obtaining registration. Section 62 sets the penalty for default at ten thousand rupees for every day the default continues, which may cumulatively extend up to five per cent of the cost of the plot, apartment or building for which the sale was facilitated.
One correction worth making, because the popular version circulates widely: the Act does not say "up to ₹10 lakh or 5% of project cost." It says ₹10,000 per day, capped at 5% of the cost of the unit whose sale was facilitated, not the project. The real version is worse for a developer with a long-running unregistered partner. We are not offering legal advice. The practical step is to check each partner's registration number on your state authority's portal, MahaRERA in the Nagpur example, before empanelling them.
What should happen in the first hour after a partner registers a lead?
Five steps, in order, with an owner for each. None needs new software, but all need a decision made before launch weekend, not during it.
1. Check for a duplicate before anyone dials
Match the phone number against existing leads and other partners' registrations. If the number already exists, the first registration holds the claim under whatever rule your partner agreement states, and the second partner is told so politely and the same day. Silence is what turns a duplicate into a dispute.
2. Call inside minutes, whatever the hour
The buyer was told to expect the call. Dial while the conversation with the partner is still fresh in their mind. Respect permitted calling windows and consent rules; the TRAI post linked below covers what applies. A call that has to wait for the window should be the first thing queued when it opens.
3. Ask how they heard about the project, and record the answer
One plain question near the start: how did you come to know about this project? The buyer's answer, in their own voice, is the independent record. If the answer is a different partner, you have learned about a conflict on day one instead of month three.
4. Qualify and book, then confirm to the partner
Budget band, configuration, timeline, and a site visit offered. Then send the partner a short status: reached, qualified, visit booked for Sunday 11 am. A partner who sees movement within the hour keeps sending buyers. A partner who hears nothing starts testing your competitors.
5. Write one structured record, not a free-text note
Registration time, first call time, call recording, the buyer's stated source, the qualification fields, and the visit slot. A structured record can be audited. A note typed from memory at 8 pm cannot.
What should a developer measure on channel partner leads?
Four numbers, none of which is lead volume. Track each by partner, weekly:
Median time to first contact on CP leads. Median, not average: the average hides the overnight tail.
Share of CP leads with no contact attempt at 24 hours.
CP lead to site visit ratio, by partner.
Attribution disputes raised per hundred CP leads.
Our own view, which we have argued before, is that median first-contact time is the number that exposes a weak desk, and the response-time posts linked below carry the sourcing. The new number is the last one. If disputes per hundred leads falls once first calls are recorded, the evidence layer is working.
Can an AI voice agent take first touch on channel partner leads?
Yes, and CP leads are the easier case, because the buyer is expecting a call from the project. The agent dials within seconds of the partner registering the lead, confirms budget, configuration and timeline in the buyer's language, offers site-visit slots, and writes a timestamped, recorded, structured record into your CRM, subject to permitted calling windows. It does not replace your closers or your partner relationships. It removes the triage decision about whose buyer gets called first.
How is IndiaCalling.ai different from a telecaller desk, a chatbot or a DIY voice platform?
Most of the options on a developer's shortlist solve part of the two clocks problem. A desk can be excellent but it closes at night. A chatbot or IVR menu answers instantly but cannot hold a buyer conversation. A generic voice platform can hold one, but you build, integrate and maintain it yourself. IndiaCalling.ai is a custom agent trained on your projects that makes the first call, qualifies the buyer, books the visit and writes the record, as one service.

That is one client describing the first clock. The second clock, the evidence, is the part we would ask you to test in a pilot on your own partner leads: take a week of partner registrations, run first calls through the agent, and compare the records you hold at the end with the ones you hold today. Our illustrative Skyline Realty scenario on the results page walks through the numbers, and it is labelled as a representative example, not a client claim.
The partner's registration records the partner's claim. Your first call records the buyer's.
If you run partners and portals through one desk, see how the IndiaCalling.ai agent handles first touch on both, then book a call and we will walk your own launch-weekend flow through it.
A buyer introduced to a project by a broker or agency working under a commission agreement with the developer, rather than one who came through a portal listing or an ad. The buyer usually already has a relationship with the partner, which helps, and a second party holds a commission claim on the same person, which is the complication.
How do developers resolve lead attribution disputes between channel partners?
The usual answer is a timestamped lead registration in the CRM, a sound minimum. A stronger version adds a record the developer created: a timestamped, recorded first call in which the buyer says how they heard about the project. A partner's registration records the partner's claim; your own call records the buyer's. Whether it settles a given dispute depends on your partner agreement.
Is RERA registration mandatory for channel partners?
Yes. Section 9 of the Real Estate (Regulation and Development) Act, 2016 bars any real estate agent from facilitating the sale of a unit in a registered project without registering. Section 62 sets the penalty at ₹10,000 for every day the default continues, cumulatively capped at 5% of the cost of the unit whose sale was facilitated. Verify the number on your state authority's portal before empanelling anyone.
How fast should a developer call a channel partner lead?
Within minutes of registration, including nights and weekends, which is when many arrive. The buyer has usually just been told to expect a call. A gap of several hours damages the partner's credibility before yours, which is how a good partner quietly stops sending their best buyers.
Can an AI voice agent handle channel partner leads?
Yes, and they are the easier case because the buyer expects the call. The agent dials within seconds of registration, confirms budget, configuration and timeline in the buyer's language, offers site-visit slots, and writes a timestamped, recorded, structured record back to the CRM, within permitted calling windows.
